Dorset Gardens Terms & Conditions of Functions 2012
Please find below the Dorset Gardens Hotel Functions Terms and Conditions 2012. By signing this Agreement, you the client acknowledges that you have read, understood and agreed to the terms and conditions of this agreement. Please return a signed copy of this agreement within seven (7) days.
Bookings & Deposit
Tentative bookings are held for 7 days only after which the date will automatically be released. To confirm your booking date and room, a deposit equal to your room hire rate must be paid within 7 days of the booking together with a signed copy of this terms and conditions.
Food & Beverage Selections and Final Numbers
Menu choices and dietary requirements must be confirmed seven days prior to the event. This is to allow our chefs to ensure the quality and availability of food. Our function coordinator will contact you prior to this date advising what information is required. Failure to do so may result in some food/beverage options being unavailable. Final number of guests attending must be confirmed 7 days prior to your function. This is the minimum number that you will be charged for. NO EXCEPTIONS.
Payment in full is required 7 days prior to the date of your function. We accept all major credit cards, including AMEX and payment by EFT direct deposit.
In the event of cancellation your deposit is non-refundable.
Dorset Gardens Hotel has access to a large number of bands, DJ’s and performers. Please do not hesitate to discuss your requirements with our Function Co-ordinator. If you prefer to arrange your own entertainment, Management must be advised of all details prior to the function.
Luncheon functions are of a 4-hour duration and must conclude by 5pm.
Evening functions are of a 5-hour duration and must conclude by 1am.
$150.00 per hour for each additional hour (or part thereof) when a function continues beyond the organised finishing time, being no later than 1 am. This must be prearranged at the time of booking.
Functions held on Public Holidays will incur an additional 10 % surcharge on confirmed numbers.
All prices are based on current costs and are subject to change. Any change will be advised.
The client agrees to conduct any function in an orderly manner, respecting the rights of other clients and guests of Dorset Gardens. All conduct must be in full compliance with all applicable laws.
Dorset Gardens accepts no responsibility for any gifts/equipment or goods at the function or left behind at the conclusion of a function. No responsibility is taken for the loss of clothing and other personal items left with management or staff. The client accepts responsibility for costs for any equipment, furniture, fittings or parts of the building damaged by their guests and associates. Cost of any excess cleaning or fixing of property damage will be assessed by the Venue Manager at Dorset Gardens and passed onto the client.
The full cost of any damage incurred to the property of Dorset Gardens is the financial responsibility of the person(s) who have provided the deposit or credit card details.
Nothing is to be nailed, screwed or adhered to any wall, door, ceiling or other surfaces or part of the building. Signage/Decoration must be approved by Management and must be kept to a minimum unless otherwise arranged.
No Food or Beverages
No food or beverages will be permitted to be brought into the venue for consumption at the function with the exception of the celebration cake, e.g. Birthday or Wedding
Dorset Gardens will endeavor to provide the required services contingent on being able to do so. Dorset Gardens will not accept liability in the Case of Business Interruption (ie. labor disputes, major mechanical failure or any other circumstances that may inhibit the trading capacity of the venue) In such circumstances, Dorset Gardens reserves the right to cancel any booking without notice at any time.
If the Management believes it is necessary to employ extra security at a function, the cost of $150 per guard for a 5 hour function shall be added to the function charge, payable by the client. Please note: an additional $30.00 will apply for every hour thereafter.
Liquor Licensing Requirement
1. The Management reserves the right to exclude or remove any person from a function in accordance with the Liquor Control Act of Victoria.
2. The Management reserves the right to refuse admission to any or all other areas of the venue in accordance with the Liquor Control Act of Victoria.
3. Offensive behaviour will not be tolerated at any time during a function on the hotel premises.
4. Under 18 years of age persons are not to consume alcohol and must be accompanied by an adult/guardian as per the Liquor Control Act. Proof of age may be asked. If a person does not have proof of age, they will be asked to leave the premises.
